How to Track Job Applications (Without Losing Your Mind)

If you've applied to more than a handful of jobs, you already know the problem: you can't remember which companies you applied to, what stage you're at, or when you last heard from them. A job search generates a surprising amount of state to keep track of, and email alone doesn't cut it.
Here's a simple system that works whether you use a spreadsheet, a kanban board, or a dedicated tool.
Track four things for every application
At minimum, you need to know:
- Stage — saved, applied, interviewing, offer, rejected, or ghosted
- Date applied — so you know how long it's been
- Where you found it — LinkedIn, a referral, the company site
- Salary range — if it was listed, write it down now; you won't remember later
Everything else (notes, documents, interview feedback) is useful but secondary. Get these four right first.
Set a follow-up rule and stick to it
The single biggest failure mode in a job search is silence — you apply, hear nothing, and three weeks later can't remember if you should follow up or move on. Pick a rule (14 days is reasonable) and check your board against it weekly. If you can automate the flag, even better.
Log interviews immediately, not the next day
Interview impressions decay fast. Write down what was asked, how it went, and your gut read within an hour of the call — not after dinner, not the next morning. When you're comparing three offers a month later, these notes are the only thing standing between you and picking based on salary alone.
